Front Desk Manager (Full-Time)

Position Title: Front Desk Manager
Reports To: Director
Employment Type: Full-time (36 hours/week) M-TH: 10am to 6pm; F: 9am to 1pm
Location: Nelms Dyslexia Center

Position Summary
The Front Desk Manager is responsible for overseeing the daily operations of the front desk and ensuring a professional, welcoming, and well-organized environment for students, families, staff, and visitors. This role manages front desk systems, communication flow, and administrative coordination to support the smooth functioning of the center.

The Front Desk Manager is responsible to oversee billing, which includes submitting invoices to the Arkansas Department of Education and other entities that provide funding for our clients.

The Front Desk Manager serves as the primary point of contact for families and visitors and ensures that office procedures, scheduling, and communications run efficiently and professionally.

Key Responsibilities

Front Office Management

  • Serve as the primary front desk representative for the center.

  • Greet students, parents, and visitors in a professional and welcoming manner.

  • Manage incoming calls and direct inquiries appropriately.

  • Monitor the facility entrance and maintain a secure and organized reception area.

  • Ensure front desk operations run smoothly throughout the day.

Administrative Coordination

  • Oversee billing, including invoicing the State Department of Education and other funding entities.

  • Serve as the primary point of contact for all billing inquiries.

  • Manage mail, deliveries, and office correspondence.

  • Maintain organized filing systems and accurate records.

  • Oversee office supply inventory and place orders as needed.

  • Coordinate maintenance requests and facility needs.

  • Assist with document preparation, copying, scanning, and material organization.

Communication and Scheduling Support

  • Serve as a communication hub between families and staff.

  • Relay messages, assist with appointment reminders, and respond to routine inquiries.

  • Help maintain organized scheduling systems as directed by leadership.

Program Support

  • Assist with preparation for training sessions, meetings, and events.

  • Coordinate materials and logistics needed for programs and workshops.

Qualifications

  • Strong communication and people skills

  • Highly organized and detail-oriented

  • Proficient in basic computer and office software

  • Reliable and punctual with a professional demeanor

  • Able to work independently and take initiative

  • Demonstrated reliability, initiative, and sound judgement

  • Must pass background check

Preferred Qualifications

  • Experience with billing

  • Experience in education, medical, or nonprofit office environment

  • Experience handling confidential information

  • Demonstrated interest in dyslexia

Physical Requirements

  • Ability to sit, stand, bend, and lift to 20 lbs. (supplies, boxes)
